Dynamic Healthstaff Personal Information and Data Privacy Policy

1. Purpose

Dynamic Healthstaff respects the privacy of every candidate who registers with us, applies for a job, submits documents, or uses our application and recruitment services.

This policy explains how Dynamic Healthstaff collects, uses, stores, protects, transfers, retains, and disposes of candidates’ personal information. We process personal data in accordance with the privacy and data-protection laws applicable to the candidate, our operations, and the destination country. This may include the General Data Protection Regulation, Regulation (EU) 2016/679, and applicable ePrivacy requirements within the European Union and European Economic Area, the Digital Personal Data Protection Act, 2023 in India, and other relevant national or regional privacy laws. Where more than one law applies, Dynamic Healthstaff will follow the applicable requirement that provides the appropriate level of protection, unless a mandatory legal obligation requires otherwise.

To assess and process a candidate for employment, licensing, immigration, training, or overseas placement, we may collect: full name; date of birth; gender and nationality; residential address; telephone number, email address, and messaging identifiers (e.g. WhatsApp number); photograph and signature; passport and identification documents; CV and employment history; educational qualifications; professional registration and licences; experience certificates; language and examination results; medical fitness information where required; police clearance or background-check records; visa, immigration, and travel documents; interview and assessment results; preferred role and destination country; and communications between you and Dynamic Healthstaff.

2.2 Information we collect automatically

When you visit our websites and landing pages (including our recruitment campaign pages), we and our providers collect: IP address; browser type and full user-agent string; device information; pages visited and referring pages; and campaign / advertising identifiers — including Google click identifier (gclid) and campaign-tracking parameters (utm_source, utm_medium, utm_campaign, utm_term). See section 3.

2.3 Consent and interaction records

When you submit a form, we record your consent flag and the date and time of consent, together with the submission, so that we can demonstrate the basis on which we contacted you.

We collect only the information reasonably necessary for the stated recruitment or, where you have consented, marketing purpose.

Dynamic Healthstaff does not sell, rent, trade, or commercially exchange candidate personal information. Candidate information will not be provided to advertisers, data brokers, or unrelated third parties for commercial marketing.

We share information only where reasonably required for recruitment or related services, with: prospective employers; hospitals and healthcare institutions; professional licensing bodies; immigration and visa authorities; government departments; educational and document-verification organisations; approved technology and service providers; and authorised recruitment partners.

Advertising and analytics providers. To run and measure our recruitment advertising, limited website and device data (section 2.2) is shared with our advertising and analytics providers, currently Google, strictly for campaign measurement and attribution as described in section 3 — not for sale and not for unrelated marketing.

Any party receiving candidate information must use it only for the authorised purpose and maintain appropriate confidentiality and security controls.

7. Messaging Channels (including WhatsApp)

We may communicate with candidates by email, telephone, and messaging apps. Our recruitment pages currently offer WhatsApp as a contact option.

WhatsApp is an approved channel for candidate communication. When you contact us via WhatsApp, your message and number are processed by Meta under its own terms and privacy policy. We use WhatsApp only for recruitment-related communication and store any resulting information within our approved systems.

8. Storage of the Information received

Candidate information will be stored and managed within Dynamic Healthstaff’s approved application, databases, document systems, and authorised technology infrastructure. Access will be limited to employees and authorised personnel who require the information to perform their work.

11. Disposal When a Candidate Is No Longer Eligible

Dynamic Healthstaff will dispose of or anonymise a candidate’s personal information when:

Disposal may be by permanent deletion from the active application and document-management systems, secure removal from operational databases, irreversible anonymisation, secure destruction of printed records, and secure wiping or destruction of storage devices. Information may remain in protected backups until the backup cycle expires and will not be restored for normal recruitment use after an approved disposal decision.

The right to erasure under GDPR Article 17 generally applies when personal information is no longer necessary for its original purpose, consent is withdrawn, or processing is unlawful. However, information may sometimes be retained where a legal obligation or legal claim requires it.
